The Executive Assistant provides administrative and general office support. Supports efforts in implementing business strategy, mission, plans and goals. Conducts basic research, drafts reports, handles information requests. Performs clerical functions such as prepares correspondence, receives visitors, arranges conference calls, processes travel requests and reimbursements, maintains calendars and creates presentations.

ESSENTIAL REQUIREMENTS   

  • Must be able to obtain and maintain the required customer clearance for access to systems, facilities, equipment and property. 

  • Must have excellent attention to detail and organizational skills 

  • Must be proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) 

  • Experience in CDC, public health, or scientific environments is strongly preferred.

 

KEY DUTIES AND RESPONSIBILITIES  

Essential Duties and responsibilities include the following.  Other duties may be assigned. 

  • Interacts professionally with senior government officials, stakeholders, and external partners.
  • Manages complex calendars, coordinates meetings, and schedules high level engagements.

  • Maintains strong attention to detail while tracking multiple priorities simultaneously.

  • Drafts, proofreads, and edits professional correspondence, memoranda, and reports.

  • Maintains organized digital and physical filing systems.

  • Plans and coordinates events, conferences, travel arrangements, and related logistics.

  • Manages meeting agendas, prepares briefing materials, and ensures leadership is fully prepared for engagements.

  • Manages email communications, prioritizes incoming messages, and ensures timely follow up.

  • Learns and utilizes government or agency-specific systems (e.g., travel systems, correspondence tracking tools).

  • Supports onboarding processes, manages travel logistics, obtains cost estimates, tracks travel expenses, and submits reimbursement requests.

  • Utilizes Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) to support daily operations.

  • Uses collaboration platforms such as Teams, SharePoint, Zoom, or similar tools.

  • Demonstrates exceptional written and verbal communication skills.

 

EDUCATION AND EXPERIENCE 

High School degree and seven (7) years of experience working as an Executive Administrative Assistant.

PHYSICAL DEMANDS 

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.  Exposed to general office noise with computers printers and light traffic.
